Getting started

Understand what Ice Cream Wala does and find the right place to begin.

What does Ice Cream Wala do?

Ice Cream Wala helps people explore bulk ice cream, brands, flavours and the businesses around them. You can browse the directory, put together product preferences and contact our team about what you need. Quote requests and business listing submissions belong in the registered app journey. The independent supplier confirms what they can provide, including products, prices, payment and fulfilment. Ice Cream Wala does not manufacture, hold or deliver the ice cream itself.

Who can use the website?

You can explore the site when planning ice cream for a wedding, birthday, office event or another gathering, or when sourcing for a business. The directory also includes related equipment and trade supplies. Choose For events for occasion planning, For businesses to learn about listing your business, or go straight to the directory if you know what you need. The Contact page offers WhatsApp, email and a help assistant for questions.

Where should I start if I already know what I need?

Use the directory to find a business by location, category or product preferences, or Brands & flavours to build a shortlist. Continue to the app, log in or create an account, then review and send your quote request. Include your city, any known date and quantities, and a short explanation of what you need. WhatsApp and email are also available for questions.

Do I need an account to browse or send an enquiry?

Browsing the directory, catalogue and help pages does not need an account. Quote requests and business listing forms are intended for registered, signed-in users in the app, rather than public website forms. Verify your email and log in to prepare and send a request or manage your business listing. You can still ask the team a question through WhatsApp or email without signing in.

What information do I need to send an enquiry?

Prepare the business or occasion, state or union territory, city and the product or service you need. An approximate quantity or guest count, date, preferred brands or flavours and a way to contact you make the requirement easier to understand. Include venue information, serving time, delivery needs and anything that is still undecided. Keep these details ready for the app’s quote journey or use them to explain a question to our team.

Can I enquire before my date, quantity or menu is final?

Yes. Start with the details you know and make clear which parts are approximate. Explain whether you are open to flavour suggestions, still estimating the guest count or deciding between dates. A useful starting brief gives the conversation context without presenting an estimate as a confirmed requirement. Final quantities, product choices and arrangements can be discussed before you confirm anything with a supplier.

Do the photographs and illustrations show actual supplier stock?

The site uses photographs, illustrations and example interfaces to explain ideas and make browsing useful. Editorial or generated scenes are not proof of a particular supplier’s premises, staff, available products or event setup. Flavour images show serving inspiration rather than a guaranteed portion, topping or package. Ask the supplier for the actual product details, packaging and presentation you would receive, and use those confirmed details when deciding on an order.

Bulk orders & quantities

Plan pack sizes, compare requirements and make quantities easier to discuss.

What does a 5-litre pack mean?

A 5-litre pack describes the stated volume of the product, rather than a fixed number of servings. It can be a useful format to discuss for parties, catering or business requirements. The actual brand, flavour, package type and available sizes depend on the supplier. Ask for the product specification and quantity per pack, then explain your intended serving format so you can discuss how many packs suit the requirement.

How do I work out how much ice cream to request?

Start with the approximate number of people and whether ice cream is the main dessert or one of several options. Mention whether you intend to serve scoops, cones, cups or another format, and whether guests may have more than one serving. Enter a guest count if you do not yet know the number of packs. Ask the supplier to explain their proposed quantity and serving assumptions before agreeing the final amount.

Is there a minimum order or a fixed number of packs?

Minimum quantities and the way packs are sold depend on the supplier, product and location. A directory category or catalogue entry does not set one minimum for every business. Include your approximate requirement and ask whether the supplier can meet it, which pack sizes are available and whether different flavours have separate minimums. For a smaller gathering, explain the guest count rather than assuming you must order a particular bulk quantity.

Can I request a mix of brands, flavours and pack sizes?

You can include more than one brand or flavour preference in your enquiry. Explain which choices are essential, where you are flexible and roughly how you would divide the quantity. A supplier may carry only part of that selection or offer different formats. Confirm the exact combination, quantity of each product and any minimums before ordering; a shortlist brings your preferences together but does not establish that one supplier can fulfil all of them.

How should I compare prices from different suppliers?

Compare the same brand, flavour, pack size and quantity, then ask what the total includes. Delivery, equipment, serving materials, taxes or a deposit may be separate. Check whether each amount is for one pack, the full order or a service period, and ask how long the quoted terms apply. Keep the product and service details alongside the price so a lower amount is not compared with a different requirement.

Can I enquire about regular supply for my shop, café or business?

Yes. Choose a suitable requirement such as Bulk ice cream and explain the nature of your business in the enquiry. Include your city, preferred brands or flavours, approximate quantities and how often you expect to need supply. Mention any storage limitations or preferred delivery pattern. Ask the supplier to confirm ongoing availability, minimums, pricing and delivery arrangements; a first enquiry does not create a recurring order or supply agreement.

What if the quantity changes or I have unused packs?

Before confirming, ask the supplier how quantity changes, additional packs and unused stock would be handled. The answer can depend on the product, notice given and whether stock has already been allocated or dispatched. Do not assume that spare packs can be returned or that an extra quantity will remain available. If your guest count changes, contact the supplier promptly and get any revised quantity, price and terms confirmed.

Events & celebrations

Bring the occasion, guest list and serving plan into one useful brief.

What kinds of events can I enquire about?

You can explore ice cream for weddings and celebrations, birthdays and family gatherings, office or corporate events, and community occasions. The For events page offers starting points, and your plan can cover another kind of gathering too. Prepare the city, date if known, guest count and the kind of ice cream service you have in mind. Suppliers confirm whether the particular requirement is within their scope.

How early should I start planning an event enquiry?

Enquire once you have a location, approximate date and a sense of your guest count. A larger gathering, a specific brand or additional equipment may need more discussion than a straightforward product request. Tell the supplier about any deadline and ask what lead time they need for the actual requirement. The website does not set a universal advance-booking period, and submitting an enquiry does not reserve stock or an event date.

Which venue details will help with my event request?

Include the venue or area, event date, planned serving time and approximate guest count. Explain where delivery can arrive, who will receive it and whether the venue has frozen storage or serving equipment. Mention access restrictions or a gap between arrival and service. Keep these points together in your event brief so a supplier can discuss a practical arrangement rather than just a product quantity.

How do I choose flavours for a varied guest list?

Use the catalogue to explore familiar favourites, Indian dessert flavours and other options you would like to ask about. Consider the rest of your menu and whether you want a small selection or several choices. Identify any must-have flavours and acceptable alternatives in your enquiry. Ask the supplier which of those products and formats are available for your city and date before deciding how to divide the quantities.

Can I plan more than one serving time or a multi-day event?

Describe each date, venue and serving period separately in your brief. State whether the guest count changes and whether you want one delivery or separate deliveries. Discuss frozen storage between serving periods and who handles the products at each location. The supplier needs to confirm the full arrangement, including any separate delivery or equipment requirements; one agreed serving period should not be assumed to cover the rest of the event.

What happens if my venue, date or guest count changes?

Contact the team or business you were discussing the plan with and share the revised details. Include the earlier message or any reference you have so the conversation can be identified. If you have already agreed an order, speak to the supplier, since a change may affect stock, delivery, equipment or price. Ask for the revised arrangement in writing and check the cancellation or rescheduling terms you accepted.

Does planning an event through the site include catering or a confirmed booking?

The event page helps you explain a requirement and explore relevant products and businesses. It does not automatically book a caterer, reserve a serving station or include delivery, staff and equipment. Ask the supplier which parts of your plan they can provide and which need separate arrangements. Confirm the menu, quantity, total price, service details, payment and cancellation terms together before treating the plan as an agreed order.

Brands & flavours

Use the catalogue to explore preferences and understand what a shortlist means.

How do I browse the brands and flavours catalogue?

Open Brands & flavours and use the two view buttons to switch between brands and flavours. Search within the current view by name, or use Previous and Next to move through the available cards. Selecting a card adds it to your shortlist, and selecting it again removes it. You can review the combined selection before continuing to the quote entry. Your shortlist describes preferences; it is not an order.

What happens to my shortlist when I continue to an enquiry?

Your selected brand and flavour names are retained for the quote handoff in the same browser session when storage is available. Review them before continuing. Your preferences become part of a request only when you review and explicitly send it from your account. If you move to another browser or clear its storage, check the preferences again. You can also include the names in a WhatsApp message or email to the team.

Is selecting a brand or flavour the same as adding it to a shopping cart?

A selection records what you would like to ask about. It does not add a priced product to a cart, reserve a pack or place an order. The catalogue does not check a supplier’s live stock while you browse. Keep your city, date and quantity alongside the preferences so they have context. The supplier needs to confirm actual products, sizes, availability and pricing before you make a decision.

What if a brand or flavour I want is not in the choices?

The catalogue provides a set of choices for browsing; it is not a complete list of every product a supplier might offer. If a specific name is missing, note the exact product in your brief rather than selecting an unrelated option. Include any acceptable alternative and whether the request is flexible. Our team can understand the preference from that context, but a name’s inclusion in your message does not establish that a supplier can provide it.

Does every brand offer every flavour shown on the site?

The catalogue presents brands and flavour ideas separately. It is not a product-by-brand stock list, so selecting a brand beside a flavour does not mean that brand makes or supplies that combination. Tell the supplier which exact products you want and ask what they carry. Confirm the manufacturer, product name, flavour and pack size together, especially when several brands use similar flavour names or different product formats.

Where can I check ingredients, dietary suitability or product labels?

Ask the supplier for the current label and manufacturer’s product information for the exact item you are considering. A flavour name, colour or serving photograph is not an ingredient list and does not establish dietary suitability. Explain the product information you need before choosing, and check it against the actual brand, variant and packaging offered. The catalogue does not certify ingredients, allergen controls or suitability for an individual guest.

Do brand logos or product images mean there is an official partnership?

Brand names and logos help visitors identify the products they want to explore. They belong to their respective owners; displaying them does not by itself establish an official partnership, sponsorship or authorised distributor relationship. Images also do not prove authenticity or current stock. If authorisation or a particular product specification matters to your purchase, ask the supplier for the relevant details and confirm the actual packaging before agreeing an order.

Directory & local supply

Find relevant businesses while keeping location, categories and coverage in context.

How can I find a business in the directory?

Search for a business name or service, choose a state and then a city, and open Filters for category, brand and flavour choices. Apply the combination that describes your requirement and review the matching listings. A supplier introduction explains what a business says it offers; use the enquiry action to ask about your specific needs. You can broaden the search if a narrow set of filters leaves no results.

Why do I choose a state before selecting a city?

The city choices are filtered by the state or union territory you select, helping distinguish places with similar names and keeping the request location consistent. Changing the state clears the previous city so you can choose a location within the new state. Search within the dropdown to find the available place name. A location in the selector identifies where you are looking; it does not mean a supplier currently serves it.

Does a city appearing on the website mean delivery is available there?

Location selectors and directory pages help describe a search area, but they do not guarantee local suppliers, stock or delivery. A listed business may serve a limited area or have different delivery arrangements for different orders. Include the actual destination and date in your enquiry, then ask the supplier to confirm their service area. Availability for your requirement needs confirmation even when the city itself appears in the directory.

What do category, brand and flavour filters tell me?

Filters narrow the directory using the information attached to listings. Categories describe types of business or trade service, while brands and flavours describe listed product preferences. These help you find introductions worth exploring, rather than providing a real-time inventory check. Read the description as well as the category, and ask the supplier about the exact product, minimum quantity, service area or equipment that matters to your requirement.

How do I ask about a particular listed business?

Use the enquiry action on the business’s listing to continue with that context. The selected business and your browsing preferences are retained for the handoff in the same browser session; log in to review and send the request from your account. For help now, share the listing link with our team through WhatsApp or email and add your location, requirement, quantity and date if known. Private business contact details are not shown in the public directory.

What should I do if there are no results or the directory will not load?

Try a broader search first: remove a product preference, choose a different category or clear the city filter while keeping the location you need in mind. Check for spelling differences in the search text. If listings fail to load, use the retry option rather than treating the error as proof that no businesses exist. You can also contact our team through WhatsApp or email with the city, product or service you could not find.

Does publication in the directory guarantee a supplier’s quality or reliability?

A published listing is a business introduction, not a guarantee of product quality, delivery performance, price or suitability. Confirm the business identity, product details, terms and any relevant documents with the supplier before placing an order. Publication and illustrative images do not establish that premises, storage or stock have been inspected. If you notice inaccurate information, send the listing link and supporting details to our team so the concern can be reviewed.

Delivery, storage & serving

Work through the practical details that make a product requirement complete.

Who arranges delivery, and what should I confirm?

Delivery is an arrangement to agree with the supplier, rather than a service automatically included by Ice Cream Wala. Share the full destination, required date and time, venue access and the contact who will receive the order. Ask whether delivery is available, who provides it and what it costs. Confirm the agreed time window and how the products will be kept frozen in transit alongside the product and quantity details.

What if delivery happens before I plan to serve?

Tell the supplier how long you expect to keep the ice cream before service and what frozen storage the venue already has. Ask whether that setup suits the actual product and quantity, and follow the supplier’s and manufacturer’s handling instructions. Arrival time and serving time are separate details in the plan. Do not assume that a delivery container also provides storage for the whole event or that storage equipment is included.

Can I ask about a freezer rental, cold storage or dry ice?

The directory includes freezer rental, cold storage and dry ice categories that you can explore, or you can describe those needs in an enquiry. State the location, quantity, period of use and what the venue can accommodate. Ask the supplier which equipment or materials they actually provide and what instructions apply. Confirm rental charges, deposits, setup, collection and return conditions separately from the ice cream order.

Are cups, cones, toppings and utensils included with the ice cream?

These are separate items to discuss rather than assumed inclusions. Tell the supplier whether you want cups, cones, spoons, scoops, bowls or toppings, and roughly how many you need. Check the size and serving format so the materials suit the product and occasion. The directory also has categories for related supplies. Confirm item quantities, pricing and delivery together, particularly when the ice cream and serving materials come from different businesses.

Can I arrange a serving counter or staff for my event?

Explain the type of service you want, the venue, guest count and serving period, then ask the supplier or caterer what they can provide. A product enquiry does not automatically include a counter, equipment setup, serving staff or cleanup. Agree the scope, number of people if applicable, service duration and charges in advance. Also clarify what your venue or event organiser must supply so responsibilities are clear on the day.

What should I check when an order arrives?

Compare the delivery with the confirmed order: brand, flavour, pack size, quantities and any equipment or serving materials. Check labels, seals and the product’s condition, and keep the invoice or delivery record. If something differs from the agreement, record the issue and contact the supplier promptly, ideally before service begins. Use the supplier’s handling instructions, and get their response and any proposed replacement or other remedy in writing.

Who handles equipment collection, leftovers and the end of service?

Set out these responsibilities before the event. Ask when rented equipment will be collected, who cleans or packs it, and what return or deposit conditions apply. For unused product, follow the manufacturer’s and supplier’s storage and handling instructions and check any agreed return terms. Do not assume that collection, disposal, cleanup or a return of spare packs is included; make each required service part of the supplier discussion.

Listing your business

Prepare a clear introduction and learn how your business becomes part of the directory.

What kinds of businesses can submit a listing?

The directory is intended for manufacturers, distributors, shops and ice cream parlours, cafés and hotels, caterers and banquets, and related trade suppliers. Categories include storage, dry ice, serving materials, toppings, equipment, packaging and utensils. The listing journey belongs in a registered business workspace. Prepare details only for a business you are authorised to represent, choosing the category that best describes what you offer and explaining any additional services.

What information is required to submit my business?

Prepare the business name, categories, state or union territory, city and a useful description, along with a contact name and business phone number. Your account email stays associated with the submission. Add the brands and flavours you work with, service area, website and up to three relevant photos where useful. In My business, save your details and choose Send for review when they are ready.

What makes a useful business description?

Describe the products or services you provide, the places you can serve and any minimum quantities or practical requirements buyers should know. Use factual language and choose catalogue brands or flavours only when they apply to your business. Give enough detail to explain your offer without promotional claims you cannot support. Keep phone numbers and email addresses out of the public description and provide them separately when discussing your listing with the team.

Will my listing appear as soon as I submit it?

Listings need review before publication; completing account setup should not publish a business automatically. Save your business details in the app and choose Send for review when they are ready. Your listing remains private until approval. A listing is not a promise of approval, a review deadline, buyer enquiries or orders.

Which business details will be public?

An approved directory listing shows the business name, categories, city and state, description and listed product information. Account contact names, email addresses, phone numbers and uploaded photos are not displayed in current public directory results. Buyers use an enquiry action to ask about a business through the team. Keep private contact information out of public descriptions and check your saved details before sending them for review.

Can I upload photos or manage a listing through the account screens?

Photo uploads and listing management belong in the registered app workspace. After verifying your email, you can save your business details and add up to three relevant photos in your workspace. If photographs or other supporting information are important to your introduction, contact our team to discuss what is appropriate. Share only material you own or are authorised to use.

How can I correct, update or remove a business listing?

Contact our team with the listing link, business name and a clear explanation of the change. Use the contact details associated with the business where possible so the request can be checked. Say whether the correction concerns public information, private contact details or removal of the listing. You can also update your business details in the app. Changes to a published listing need review; sending a message does not automatically change the public page.

Enquiries, payments & support

Find the right contact route and understand payments, changes and privacy requests.

What happens after I contact the team?

Your WhatsApp message or email starts a conversation with the team. Keep a copy and include earlier messages when following up. Quote requests sent from your signed-in app account are saved in My requests, with their reference, status and any response from the team. Contacting us or sending a request does not reserve stock, confirm availability or create an order.

What should I do if I cannot continue to a request?

Log in to the app and open My requests to check whether your request is already saved. Creating an account alone does not send a quote. If a submission fails, keep the form open, read the message and retry when appropriate; your entered details stay on that page. For help, contact the team with the page link, request reference if available and a short explanation. Never share passwords or verification links.

Can I correct or withdraw an enquiry after submitting it?

Contact the team through the channel you used and explain the details you want to correct or withdraw. Include the earlier message or any reference you have, your name and the relevant city so the conversation can be identified. Explain whether you have already made a separate agreement with a supplier. If an order has been agreed, changes to that order also need the supplier’s confirmation; withdrawing an enquiry does not cancel the supplier agreement.

Who do I pay, and who provides the invoice?

Product and service payments are arranged directly with the independent supplier, who should confirm the price, charges, payment terms and invoice details. The website does not have checkout or collect an order payment. Before paying an advance, identify the supplier and agree the order and payment details in writing. Never send an order payment to a personal account claiming to collect it for Ice Cream Wala.

How do cancellations, refunds or problems with a supplier order work?

Discuss cancellation, rescheduling, deposits and refund terms with the supplier before confirming. If a delivery or service differs from the agreement, contact that supplier promptly with the order details, invoice, messages and relevant photographs. Explain the remedy you are requesting and keep their response. If the concern remains unresolved, share the evidence with our team. We can review a listing concern, but cannot refund money paid to a supplier or guarantee the outcome.

How do I contact the team or report a listing concern?

Use the Contact page to open WhatsApp or email sales@icecreamwala.com. Include the city, any earlier conversation or reference and a concise explanation so the team can understand the context. For inaccurate listing information or misuse, include the page link and relevant evidence; the site policies also list support@icecreamwala.com for reports. The help assistant can point you to useful information, but it does not send messages or submit a request to the team.

How are my enquiry details used, and how can I request a privacy correction?

Details you share with the Ice Cream Wala team help explain and follow up on your requirement; they do not become a public directory listing. Provide only the contact information and planning details needed for that purpose, avoiding bank credentials, payment card information or unrelated identity documents. For a correction, removal request or privacy question, write to sales@icecreamwala.com with enough context to identify the conversation. The Privacy Policy explains the site’s stated data practices and request process.
